Creating Time/Materials Invoices

Sort Invoices with the Summary/Subtotal Setting

Use the summary/subtotal setting to sort invoices by any number of different categories, including staffer, task, department, or staff rate. It’s an easy way to sort your invoice information to only show the relevant details.

In this article, we’ll draft an invoice to show you how to use this setting.

  1. Click Invoicing...Overview from your navigation bar.
  2. Click Create Invoice, located near the top-left corner of your window.
  3. Click on the red triangle and select the project you’re going to draft the invoice for. Then click next
  4. Select the type of invoice, and then click Next.

NOTE: There’s not subtotal option for manual, item-based, or fixed-fee invoices.

Now we can use the summary/subtotal setting to sort invoices. This setting is located in the gray-side bar. Find summary/subtotal setting and click on the white triangle.

Many options will populate and you can select the one that’s relevant to your drafted invoice.

To experiment, click on any of the selections and your invoice will populate with the respective details. For example, we selected “by task.” Our drafted invoice now shows the breakdown of expenses according to the tasks. We can also sort by staffer, to show all of the staffers who’ve logged time against this project for this invoice.

NOTE: Subtotaling by task will help you track time and materials against your budget.

Now you can continue working on your invoice. Keep in mind that BigTime automatically saves your selection in the Summary/Subtotal setting.
