Create an Invoice with LEDES

Follow the same invoicing process as you normally would in order to create an invoice with LEDES. This article aims to get you more familiar with using LEDES for invoicing. It’ll also show you how to export with LEDES.

First, some pointers about invoicing with LEDES. Recall that each entry will be its own line item with the LEDES format. So make sure that the correct time and expense entries are included on the invoice.

Any adjustments made on the invoice will also be included in the LEDES invoice. This means any additional line items that are added, whether it is a discount (negative line item) or additional fee (positive line item) will be noted on the LEDES export in the LINE ITEM ADJUSTMENT AMOUNT column.

In addition, each line item in the LEDES invoice will be one of the following:

F - Time

E - Expense

IF - Fee AdjustmentI

E - Expense Adjustment

Once the invoice is ready to be exported, click on the print icon and select LEDES 1998B.

When exporting to the LEDES 1998B format, BigTime will download the invoice as a CSV file. Open the file in Excel.

MAKE VIEWING EASY

Make the file easy to view you can change the file to a “delimited” view and use the ‘pipe’ (|) character as the separator. Here’s how: Highlight column A. Click Data...Text to Column...Next...Choose Delimited. Now enter the pipe (|) character in the OTHER field. Then click Finish.

Save the file and you are ready to send to your client. There are some additional notes to keep in mind. First, BigTime doesn’t export “no-charge time” or “no-charge-expenses.” Second, the LEDES export format doesn’t support tax rates.
