This article will show you how to set up and install the BigTime app in Salesforce. Then, we’ll show you how to connect your BigTime and Salesforce accounts. We’ll explain each step of both processes.
NOTE: This article assumes you have both a BigTime and a Salesforce account. You’ll need to be the admin user on both accounts in order to follow along.
Setup involves downloading the BigTime app and connecting it with Salesforce. You’ll need to start in Salesforce. Once you’re logged in, follow the steps below.
Install the BigTime App
You need to install the BigTime app from the Salesforce AppExchange. This will add all of the custom objects into which BigTime data flows, and it will let you connect opportunities, accounts and contacts to their corresponding objects in BigTime.
Connect the Two Systems Within Salesforce
Once the BigTime app is installed, you’ll see it as an option in your “installed applications.”
- Click on the box of dots located in the top-left corner of Salesforce.
- Click on the BigTime application on your App Launcher in order to open up BigTime’s app.
- Click BigTime Setup on the navigation bar at the top of your window. This will pop open a screen that is similar to the one you see below.
In order to talk, both BigTime and Salesforce need to authorize each other. It’s a fairly simple step-by-step process, and you kick it off by clicking on the Connect button at the bottom of this page.
- Authorize Salesforce to access your BigTime account. If you aren’t logged in to BigTime, then the system will ask you to log in next. Once you do, you’ll be asked to confirm that you want to grant Salesforce access to your BigTime data on a screen like the one shown below.
You’ll click the Allow button in order to confirm this permission. Once you do, you’ll be forwarded to a similar screen in your Salesforce system so you can grant rights to BigTime as well.
Again, you’ll click the Allow button to grant access. Once you do, both systems will be able to communicate with each other.
Decide What Pipeline “Stage” Will Generate a Project in BigTime
In the typical workflow, an opportunity in Salesforce will automatically generate a “project” in BigTime once that opportunity reaches a specific stage in your sales pipeline.
You can use the BigTime setup screen to indicate which pipeline stage you’d like to trigger that event.
Based on the selection (shown below), each time a new opportunity reaches the “Closed Won” stage, a new project will be generated in BigTime and linked to that opportunity. Note that moving opportunities directly to “Closed Lost” won’t trigger a new BigTime project.
Don’t forget to click Save in order to save your selection!
NOTE: Deleting Opportunities won’t delete projects in BigTime. Once an opportunity has generated a BigTime project, deleting it will sever the connection but it will not delete the project in BigTime. Most firms choose to deactivate projects in BigTime (rather than deleting them) in order to preserve history.
Where to Go from Here
Once your systems are setup, you’ll see new opportunities from Salesforce begin to populate your BigTime system. You’ll also see data from BigTime update your Salesforce information with budgets, time/expenses logged against that opportunity, invoices, payments, etc.
